Event Coordinator Position Available at Western Province Cricket Club (WPCC)

Western Province Cricket Club (WPCC) is looking for a highly organized and experienced Event Coordinator to manage events, functions, and banqueting. This role requires flexibility in hours, including evenings and weekends, to ensure the smooth planning and execution of events at the Club. The Event Coordinator will work closely with clients, the WPCC team, and support staff to deliver exceptional events while supporting various sports sections.

Key Responsibilities:

  • Event Management:

    • Plan, coordinate, and execute a variety of events, including functions, banquets, corporate events, and special Club occasions.
    • Coordinate with “The Club” restaurant, which manages all food and beverage services, to ensure smooth delivery for events.
    • Work closely with the Club’s Duty Managers and other support staff to ensure events run smoothly and efficiently.
    • Ensure all events adhere to the Club’s standards of excellence.
  • Sports Event Support:

    • Support WPCC sports sections, including cricket, hockey, squash, tennis, bowls, and running, by coordinating their events and tournaments.
    • Liaise with section heads to understand their event requirements and ensure successful execution.
  • Function & Banqueting Coordination:

    • Manage all aspects of banqueting, from menu selection (in collaboration with “The Club” restaurant) to service execution.
    • Oversee the setup and breakdown of event spaces, ensuring attention to detail in table settings, audiovisual equipment, and overall venue presentation.
    • Liaise with external suppliers, such as florists and entertainers, to ensure quality service and timely delivery.
  • Client Relations & Communication:

    • Establish and maintain strong relationships with clients, ensuring their satisfaction before, during, and after events.
    • Provide clients with detailed information about the Club’s facilities and available event services.
    • Assist clients in selecting event packages and tailoring services to their needs.
  • Administration & Financial Management:

    • Use Jonas Software to manage event bookings, process invoicing, and maintain financial accountability.
    • Prepare event proposals, contracts, and budgets, ensuring all details are captured.
    • Manage event-related expenses and work within budgetary constraints.
    • Process payments, issue receipts, and ensure accurate financial management for each event.

Job Requirements:

  • Experience:
    • At least 2-3 years of experience in event coordination, with a strong focus on functions and banqueting.
    • Experience in supporting sports-related events is an advantage.
    • Familiarity with Jonas Software or similar event management software is preferred.
  • Skills:
    • Excellent organizational and multitasking skills, with the ability to handle multiple events simultaneously.
    • Strong communication skills, both written and verbal, with a client-focused approach.
    • Attention to detail and the ability to ensure high standards in event execution.
    • Proficiency in event management software and the Microsoft Office suite.

Receptionist Position Available at Western Province Cricket Club (WPCC)

Western Province Cricket Club (WPCC), a premier sports club in Rondebosch, is currently seeking a vibrant and energetic Receptionist to join our team. This role is essential to ensuring the smooth operation of our reception area, managing member queries, functions, and providing exceptional service to all our visitors and members.

Key Responsibilities:

  • Reception & Member Interaction:

    • Maintain a welcoming atmosphere in the reception area.
    • Greet and assist members and visitors, providing full information about the Club’s facilities.
    • Answer the switchboard, direct calls to the relevant staff members or departments, and take accurate messages when necessary.
    • Assist with membership queries, including activation and management of membership cards.
    • Be available in the Members Pavilion at Newlands during the build-up to and on cricket days to assist with any inquiries.
  • Bookings & Administration:

    • Handle bookings for squash courts, tennis courts, the indoor centre, and other club facilities.
    • Receive payments, manage cash transactions, issue receipts, and perform daily cash-ups.
    • Maintain and order stationery, cleaning equipment, and first-aid stock as needed.
    • Oversee the keys and equipment register.
    • Assist with administrative tasks, including handling deliveries.
  • Facility Management:

    • Control lost property and ensure the reception area is tidy and organized.
    • Monitor the use of club facilities, such as courts.
    • Perform regular stock checks and ensure proper filing systems are in place for membership cards and correspondence.

Job Requirements:

  • Matric or equivalent NQF 4.
  • An administration, office management, or sports management qualification is beneficial.
  • Minimum of 2 years of administration/front-of-house experience.
  • Proficiency with the Microsoft Office suite.
